案件内容 Background:
Kenya's non-commercial space at Expo Osaka 2025 aims to enhance visitor experience and promote its agricultural heritage by offering coffee, tea, and nuts for tasting and as giveaways. The products include freshly poured coffee and tea, packaged tea (loose leaf and tea bags), packaged coffee (roasted and ground), and roasted nuts (cashews, macadamias, peanuts, and mixed nuts). These offerings will strengthen Kenya's brand image, foster cultural exchange, and encourage trade, investment, and tourism.

Objective:
Kenya's non-commercial space aims to:
• Promote cultural exchange and strengthen diplomatic ties.
• Highlight the diversity and quality of Kenyan products.
• Provide a memorable and enjoyable experience for visitors.
• Strengthen Kenya's international brand image and encourage interest in its products.

Specific Objective:
A logistics coordinator will manage and coordinate logistics to ensure efficient delivery of services and materials related to Kenya’s non-commercial space at Expo Osaka 2025.

Scope of Work:
The outsourcing company (logistics coordinator) will handle all logistical operations, including:
• Planning and Coordination: Develop a logistics plan covering transportation, storage, and setup. Coordinate with Kenyan authorities and Expo organizers, ensuring customs clearance and shipment scheduling.
• Transport and Shipping: Ensure safe packaging, shipping, customs clearance, and delivery of goods from Kenya to Japan and back, including insurance and handling port clearance.
• Customs and Documentation: Prepare and submit all international shipping and customs clearance documentation, ensuring regulatory compliance in both Kenya and Japan.
• Setup and Installation: Manage setup of exhibits and equipment, coordinating with technical teams for installations.
• On-Site Management: Provide logistical support during the Expo, including product replenishment, stock management, payment of applicable duties, and equipment maintenance. Assist with cleaning services, translation services for packaging, and product labeling.
• Post-Expo Logistics: Manage return shipments, post-event warehousing, disposal of expired goods, and customs clearance for any remaining goods.
• Security and Maintenance: Implement security measures and coordinate regular maintenance of the exhibition space.
• Staff Coordination: Organize logistics for staff and volunteers, including training and briefings.
• Financial Management: Manage the logistics budget, ensuring cost-effective solutions while maintaining quality.
• Reporting: Keep detailed records and provide monthly progress updates to the Kenya Expo 2025 organizing committee.
Deliverables:
• A comprehensive logistics plan outlining transportation, storage, setup, and product distribution.
• Monthly progress reports tracking critical logistics aspects.
• A final report summarizing logistics operations and providing recommendations for future events.
• An inventory list of all materials and equipment.
• Detailed budget reports for tracking expenditures and ensuring financial accountability.

Qualifications and Experience:
• Proven experience in logistics for large international events.
• Knowledge of international shipping and customs procedures.
• Strong project management, coordination, and communication skills.
• Familiarity with Japanese regulations is a plus.

Timeline:
The logistics process will begin six months before Expo Osaka 2025 and continue three months post-event to allow for the return and reconciliation of materials.

Reporting:
The logistics coordinator will report to the Kenya Expo 2025 organizing committee and work closely with the designated project manager to ensure smooth execution.

I am PIC which wholesale and trading compnay in Osaka.
I checked your TORS.
I have some questions
1, Transport and shipping
you don't have shipper in Kenya side? I mean if I undertake them, should I arrange all transportation from Kenya to Osaka,Japan?
2, Shipping and customs clearance
As same as question no,1, need I arrange all shipping documents and importing custom clearance documentations?

Brundi has shipper, so I am incharge of import-related business after arriving Osaka Port.
I think it is hard to accept if we need to undertake all procedure from Kenya to Osaka(arrange container, exporting custom clearance and forwarding and prepare all documents which need expoting etc)
